Goods Out and your own vehicles

Your own lorries, the dock board of doors and lanes, and today's despatches.

PlatformGoods Out → Goods Out

Goods Out is the outbound side of the site on one page. Under a note about load plans come the Collections coming to be loaded, Your vehicles, the dock board of doors and lanes, and Today’s despatches. Booking a collection and stamping its loading are covered in Collections and despatch.

Your vehicles

The register of the site’s own lorries. It says how many are on it, how many are tracked and how many are inactive, and lists each with its kind, tracking, when it was last seen and its status.

  1. Add a vehicle → the registration and its kind: Rigid, Artic unit, Trailer, Van or Other. Make and model and a note if you like.
  2. If it is tracked, choose the system it is on (Webfleet, Samsara, Microlise or the demo feed) and its id in that system. Leave the id blank and it is matched on the plate.
  3. Leave This site owns it ticked for your own fleet. Untick it for a vehicle you keep on the register but do not own; that one is never followed between bookings.
  4. Add to the register.

A vehicle is never deleted. When it leaves the fleet, press its Active status to stand it down, so its history and the bookings that named it keep their meaning; pressing Inactive puts it back in service. A booking on a registered plate links to its vehicle by itself, but a booking never adds a vehicle to the register. Owners, managers and the office keep the register; everyone else can see it.

Your own lorries can sit on the register with the tracker they use, but DockLedger does not follow them between bookings yet. That part is switched off while the privacy wording is finished. A booked load still shows on the Telematics map when the carrier carrying it has connected their tracker from their portal. Microlise vehicles can sit on the register, but DockLedger cannot read positions from Microlise.

The dock board

Every door and lane on the site, split by warehouse area. Lanes are the marshalling strips where picked loads wait; each lane tile shows what is marshalling on it and can be paused or put back in service. Each door is set as Goods in, Dispatch or Both, and the goods-in doors sit in their own thin strip because an outbound planner is not choosing one. The board is read-only until Edit layout is pressed, and that button only appears for someone allowed to change the site’s layout. A lane that has picklists behind it cannot be deleted. Drag a lane tile to make it taller; this computer remembers it.

Today’s despatches

  • Every despatch of the day: reference, vehicle, customer, cases, weight, and whether it is despatched, delivered or short.
  • With Xero or Sage connected, each despatch goes across as a draft sales invoice by itself. The send button on the row, which names your system, sends one straight away, and once it has gone the row shows the invoice number from your accounts instead.

The trailer load plan in the example workspace, with its weight bar and drop order, is an illustration. Nothing records a trailer’s weight limit or where a pallet sits on the deck yet, so on your own workspace no load plan is drawn, and vehicles are released from the Yard.
